We are seeking an Office Administrative Assistant to join our busy multidisciplinary medical clinic, working primarily with our dermatologist. This role is well-suited for someone who is organized, detail-oriented, and comfortable working both independently and as part of a team. The successful candidate will take on key responsibilities in our phototherapy program and assist with dermatology procedures and equipment processing, while also supporting general clinic operations.
Primary Responsibilities
Phototherapy Clinic Duties
● Independently check in and prepare phototherapy patients.
● Follow clearly outlined protocols to operate and start the phototherapy booth safely.
● Monitor and document patient treatments accurately.
Procedure Preparation
● Set up biopsy and procedural trays for the dermatologist, maintaining sterile technique and clinic standards.
● Assist in ensuring exam rooms are fully stocked and prepared for each patient encounter.
● Responsible for surgical instrument cleaning, packaging, and autoclave sterilization.
Patient Booking & Check-In
● Book and check in dermatology patients through our EMR system (Med Access).
● Communicate effectively and professionally with patients both in person and over the phone.
Additional Responsibilities
● Shared responsibility for reception and administrative tasks with the rest of the MOA team supporting 5 General Practitioners and a dermatologist, with approximately 80% of this role focused on dermatology.
● Order, receive, and maintain inventory of office and basic medical supplies to ensure clinic readiness and smooth workflow.
● Prepare and proofread patient forms, requisitions, referral letters, and other clinical or administrative documents for accuracy and completeness for the dermatologist.
● Coordinate the flow of information between patients, physicians, nurses, and external healthcare providers to support timely patient care.
● Support billing-related tasks such as Medical Service Plan (MSP) billing entries, private billing, and appointment coding as directed by the physician or clinic manager.
● Potential for growth into expanded clinical or administrative roles as skills develop and clinic needs evolve.
Qualifications
● Previous medical office experience and basic computer literacy are essential.
● Applicants must have training in use of autoclave and instrument sterilization protocol
● Applicants would ideally be familiar with phototherapy machine function and administration.
● Experience with Med Access EMR is an asset.
● Professionalism in person and on the telephone is required.
● Ability to multitask, prioritize, and remain efficient in a fast-paced clinical environment.
● Friendly, positive attitude with a team-oriented approach.
